Author Guidelines

ABSTRACT GUIDELINES

Please follow these guidelines to ensure your paper is reviewed. Documents that are not prepared according to these formatting instructions will NOT be reviewed.

The abstracts should follow the instructions and templates provided below. After the abstract submission has been successfully completed, authors will receive confirmation e-mail.

  • The e-mail must include the author/s’ full name, home institution, address and phone
  • All abstracts must be submitted in English.

The abstracts must be submitted electronically and sent, as an attachment to itc.eventos@ipleiria.pt by 31st July 2017.

GENERAL SESSIONS PAPER GUIDELINES

Please follow these guidelines to ensure your paper is reviewed. Documents that are not prepared according to these formatting instructions will NOT be reviewed.

The General Sessions full papers must be submitted electronically and sent, as an attachment to itc.eventos@ipleiria.pt by 15th October 2017. The e-mail must include the author/s’ full name, home institution, address and phone.

The full papers should follow the instructions and templates provided below. After the paper submission has been successfully completed, authors will receive confirmation e-mail.

  • Languages: the paper may be written in one of the three official languages of the Conference (EnglishSpanish or Portuguese).
  • Note that all accepted papers will be published in the Proceedings Book but only those written in English can be accepted for review and publication in the journal EJTHR.
  • Each paper should clearly indicate the nature of its scientific contribution, and the problems, domains or environments to which it is applicable.
  • For the double-blind paper review, any reference to any of the authors (including the authors’ personal details, the acknowledgements section of the paper and any other reference that may disclose the authors’ identity) will be removed.
  • All accepted papers must be presented by at least one of the authors.

ORAL PRESENTATION GUIDELINES

The parallel sessions are consisted of 4-6 oral presentations (papers) per session. The presenters will have about 15 minutes to present their paper. The main purpose of these sessions is to allow presenters the opportunity to convey the importance of their research to a large gathering audience. Below are some guidelines to help you prepare your presentation.

Schedule and Timing:

You will receive a notification letter from your program chair as to when and where your presentation is scheduled during the conference. Be sure to come early to your session to check in with the session facilitator or chair and to go over any last minutes changes your might have. You, or one of your co-authors, MUST be present during the start of the session.

Remember (again), your presentation is limited to 15 minutes plus 5 minutes for questions. Please respect that. The 5 minute question period also allows people to move between session rooms.

Presenting:

Please arrive at your session meeting room at least 15 minutes before the session begins. Take time to familiarize yourself with the set-up at the lectern. You will control/advance the slides during your presentation. We have arranged to have technicians floating between session rooms to assist as needed. These technicians will be wearing special badges so they are easily identified. 

The authors can communicate in one of the official languages of the conference: English, Spanish or Portuguese.

When presenting, make sure you speak slowly and clearly. DO NOT read from the slide, but explain it. Address the audience when you are speaking. Try not to keep looking down at your presentation. You might also want to involve the audience by asking questions. This is a great way to keep the audience interested in your work. Lastly, just try to relax and have fun when you are up there.

Equipment and room setup:

Room set up: The meeting rooms are set up in theater style seating (no tables, just rows of chairs).

Equipment set up: Each room is equipped with a standard audiovisual package that will support an electronic presentation. The package includes the following items:

  • Data Projector 
  • PC / Laptop (Windows)
  • Wall or Tripod Screen
  • Microphone (based on room size)

Presenters do not have to bring their own computer. All presentations must run on the Windows operating system. There will be a laptop computer that will be available in the session room which will have Windows installed. There will also be several software programs available on the computer including: Microsoft Office, Adobe Acrobat Reader, QuickTime and Windows Media Player. There is Internet access in any of the session rooms. There is no Speaker Practice room for presenters.

PAPER CANCELLATIONS

Should an unforeseen event make it impossible for you to attend the conference and present your paper, please try to find an associate to present the paper in your absence. If you cannot find a colleague to present on your behalf, or, if for any other reason your paper must be withdrawn, please be sure to immediately notify João Paulo Jorge (e-mail: jpjorge@ipleiria.pt).

Please note that authors who are in attendance at their assigned conference session will have their paper published in the conference proceedings. This applies to both primary and alternate authors.


Legal Considerations |By submitting an abstract, authors agree to grant the organizers of the conference the right to publish it in the book of abstracts, to be distributed at the ITC’17. The material should not have been published elsewhere before the meeting. The conference does not claim copyright and authors are free to publish the same material elsewhere after the ITC’17. Authors should ensure that publication in the book of abstracts does not conflict with the rights of third parties, nor violates non-disclosure agreements or copyright laws.
